Terms of service
Effective October 29, 2026
These terms apply to use of the PolePay app, administration portal and related services. Contact info@polepay.org with questions about these terms before using the service.
Accounts and authorized access
Provide accurate account information, protect your sign-in credentials and use only accounts, groups and records you are authorized to access. Do not impersonate another person, bypass access controls, misuse invitations or submit fraudulent or unlawful information. Group administration requires the applicable approval and group role; portal approval alone does not grant ownership of a group or its payment account.
Independent groups and campaigns
Groups are managed independently by their authorized administrators. Those administrators are responsible for their campaign descriptions, member invitations, requested contributions and receiving payment account. A campaign’s appearance in PolePay is not a guarantee of its claims, a beneficiary outcome or eligibility for a tax deduction. Ask the group administrator for the details you need before contributing.
Contributions and payment authorization
Payment availability depends on account eligibility, group configuration and the supported release. A limited owner-only pilot does not make payments available to all members or establish full payment readiness.
Review the receiving group, campaign, amount and any disclosed fee before confirming a payment. Payment methods are handled by Stripe for the group’s receiving Stripe account. Saving a card or joining a group does not authorize a contribution. A real contribution requires your explicit payment authorization. Where the current no-added-member-fee policy applies, the group pays its Stripe merchant processing fees.
A processing or pending status is not a confirmed contribution. Provider-verified outcomes determine the payment record. A contribution record does not by itself establish a bank payout, delivery of funds to a beneficiary or tax deductibility.
Payment questions, refunds and disputes
Contact the group administrator for a question about a campaign or a refund request. You may also email info@polepay.org with the group name and payment reference so PolePay support can help direct the request. Do not send full card details or passwords. A request is not confirmation that a refund has been processed; the applicable provider outcome and record determine its status. These terms do not remove rights that applicable law does not allow to be limited.
Content and privacy
You must have authority to provide the information and content you submit, including information about other people. Do not publish sensitive personal information without permission or use the service for prohibited activity. See our privacy policy for how account, group and contribution data is handled.
Availability and account changes
Features can be unavailable during interruptions, maintenance, eligibility review or a limited rollout. Do not repeat an uncertain payment simply because its response was interrupted; check the existing payment status first. Access may be restricted when an account or group no longer meets its authorization requirements or when needed to protect the service.
To request account deletion, use the account-deletion page. Historical financial and audit records may be retained for legitimate recordkeeping, security or legal reasons as described in the privacy policy.
Changes and contact
Updated terms will be published here with a revised effective date. For account, service or contribution-record questions, contact info@polepay.org.
